B. VENDOR TERMS & CONDITIONS
1. Setup & Breakdown
Vendors may begin setup at 1:00 PM and must be fully operational by 2:45 PM. Breakdown is not permitted before 8:00 PM. Vendor areas must be left clean and free of trash.
2. Staffing & Attendance
Vendors must have a representative onsite at all times. Short breaks are permitted, but spaces must not be left unattended for extended periods.
3. Vendor Responsibility
Vendors assume full responsibility for all personal property and equipment. Anchored Ministries and Twin Valley High School disclaim liability for theft, loss, or damage. Vendors are liable for any damages caused to venue property or other vendors.
4. Insurance Requirements
The Vendor, at its sole expense, shall obtain and maintain in full force and effect during the event, Comprehensive General Liability (“CGL”) insurance from a responsible insurance company licensed to do business in the Commonwealth of Pennsylvania. The CGL insurance shall provide coverage in an amount not less than $100,000 per occurrence and $300,000 in the aggregate, and shall protect the Vendor from claims for personal injury (including accidental death) and property damage arising from the Vendor’s participation in the event, whether such activities are conducted by the Vendor or by anyone acting on the Vendor’s behalf.
Anchored Ministries and Twin Valley School District must be named as additional insureds on the CGL insurance policy. Proof of insurance listing both parties as additional insureds must be provided upon request.
5. Product Overlap
Product duplication may occur. Vendors may inquire about other registered vendors before applying.
6. Space Assignment
Spaces will be assigned upon arrival. Vendors must contain all displays, equipment, and furnishings within their allocated space.
7. Exclusivity
Each space is assigned to one vendor only. No subletting or shared occupancy is allowed.
8. Sound and Advertising Restrictions
No personal music, sound amplification, or loud advertising is permitted.
9. Photo Release
Vendor grants Anchored Ministries the right to use photos of their setup and team for promotional purposes in print, online, or media campaigns.
10. Equipment & Safety
Vendors must bring their own generators, water supply, tents, or weather protection. Vendors are liable for any injury or damage caused by their equipment.
11. Payment Terms
Vendor fee is due at registration. All payments are non-refundable. Fees support event production and Anchored Ministries’ charitable work.
12. Cancellation & Force Majeure
This event is rain or shine. No refunds for vendor cancellations. In the event of severe weather, government orders, or unforeseen emergencies resulting in cancellation, no refunds will be issued.
13. Food Safety & Operations
Vendors must:
• Serve food/beverages at safe temperatures.
• Use appropriate containers.
• Display pricing clearly.
• Provide courteous service.
• Maintain cleanliness per PA Department of Agriculture standards.
14. Permits, Licenses & Taxes
Vendors must:
• Obtain all required permits/licenses.
• Post them visibly.
• Collect/pay applicable state and local taxes.
• Provide a valid PA Sales Tax Certificate Number upon request.
15. Noise, Smoke, and Odor Control
Operations must not create excessive smoke, odor, or noise that may disrupt the event experience.
16. ADA Accommodations
Anchored Ministries will make reasonable efforts to accommodate ADA-related requests. Vendors should include any such needs in the registration form.
17. Prohibited Conduct
Vendors may not solicit other sponsors, vendors, or guests outside their designated space.
18. Termination of Participation
Anchored Ministries reserves the right to terminate vendor participation at any time due to unsafe conduct, noncompliance, or disruptive behavior, with no refund.
19. Legal Compliance
Vendors must comply with all applicable laws and regulations of federal, state, and local authorities.
